Learn how to assign content and set due dates

Overview

Assigning content allows Admins and Managers to allocate specific content to users and groups, and track its completion.

This feature helps streamline training processes, ensuring that the right users receive the right content at the right time.

You can also set due dates to ensure that assignments are completed within a specified time frame.

Who Can Assign Content?

Only Admins and Managers can assign content. These users have access to the Assign button on content items, allowing them to select recipients, set due dates, and track completion. Learners do not see this option.

How to Assign Content

To assign content, navigate to any content and select the Assign button. Then, select the users and groups you would like to assign to.

Users who have already been assigned the content are automatically excluded from the list. Once you've made your selections, select Assign to confirm.

Note: The only content type that cannot be assigned is Events, where users are instead Invited. You can read more about Events here.

How to Set a Due Date

In the Assign modal, there’s an option to set a Due Date next to the Assign button. By clicking on the date picker, you can select a future deadline for the assigned content.

Setting a due date helps users stay aware of deadlines. If no date is needed, this field can be left blank. The due date is saved along with the assignment and visible in user notifications and emails.

For a Content Item

To see who has been assigned a content item, select the Already Assigned tab at the top of the assign pop-up.

Here, you can see which users have been assigned the content, and whether they have completed it.

If they have completed it, a completion date will be displayed.

For a User

To see all assigned content against a user, select the right facing arrow that displays on hover against a user in User Management to view the Assigned tab within the Edit User page.

 

Alternatively, this can be accessed from a user's profile page by selecting Assigned Content within the More dropdown options.

For Groups

To see assigned content against a Group, select the right facing arrow that displays on hover against a Group within User Management. This will direct you to the Edit Group page, where the Assigned tab can be viewed.

How to Unassign Content

Admins and Managers can Unassign content from a User or Group.

To do this, navigate to the Assigned tab within the Edit User page (to unassign from a user) or Edit Group page (to unassign from a group), where all assigned content will display. When hovering on the content, an Unassign Content icon will display to the right of the content.

Once selected, a confirmation modal will display to confirm the action of unassigning content. Once confirmed, the content will be unassigned from the User/Group.
